What should I do if my visa application is pending with “currently staying in Vietnam” status?

We have a trip to Vietnam for 5 days in March 2024, and we have already left the country. However, when we applied for a new visa for the incoming trip in December 2025, we received an email from the Vietnam Immigration Department: “You are currently staying in Vietnam. Therefore, you are requested to exit from Vietnam prior to your resubmission of documents”.
We are not staying in Vietnam, though. What should we do to sort it out, as our trip starts very soon?
